This Privacy Policy explains how Parlay ("Parlay," "Company," "we," "us," or "our") collects, uses, discloses, and protects information when you use our AI sales coaching platform, websites, mobile applications, and related services (collectively, the "Service"). By using the Service, you agree to the terms of this Privacy Policy.
1. Interpretation & DefinitionsAccount means a unique account created for you to access the Service or parts of the Service.
Affiliate means an entity that controls, is controlled by, or is under common control with Parlay.
Application refers to Parlay, the software and services provided by the Company.
Device means any device that can access the Service, such as a computer, phone, or tablet.
Personal Data means any information relating to an identified or identifiable individual.
Service Provider means any natural or legal person who processes data on behalf of the Company.
Usage Data means data collected automatically, generated by the use of the Service or from the Service infrastructure itself (e.g., page visit duration).
You means the individual accessing or using the Service, or the company or other legal entity on whose behalf such individual is accessing or using the Service, as applicable.
2. Information We CollectWe collect the following categories of information:
2.1 User InformationName, email address, password, company name, role, and other account details you provide during registration or while using the Service.
2.2 Sales DataAudio recordings, call or meeting transcripts, sales notes, calendar context, and related conversation metadata that you or your organization upload, record, or connect to the Service.
2.3 Feedback & ScoresAI-generated insights such as performance scores, coaching recommendations, quality assessments, and related annotations tied to your Account.
2.4 Usage Data & Technical InformationIP address, device identifiers, browser type and version, operating system, referring URLs, pages visited, time and date of visits, time spent on pages, diagnostic data, crash logs, and similar event data. If you access the Service via a mobile device, we may collect device type, OS, and app version.
2.5 Cookies & Similar TechnologiesWe use cookies, local storage, and similar technologies for authentication, preferences, analytics, and security. You can control cookies through your browser settings; disabling certain cookies may affect functionality. You may also manage preferences via our Privacy Choices center (link in footer). We honor browser-based signals, including Global Privacy Control (GPC) and Colorado-recognized Universal Opt-Out Mechanisms (UOOM) for targeted advertising opt-outs.
2.6 Biometric DataParlay does not create or store biometric identifiers (e.g., voiceprints) unless you enable a feature that requires them and provide any legally required notice/consent. Where enabled, we minimize retention, restrict access, and never sell biometric data.
3. How We Use Your InformationWe use information for the following purposes:
Provide, maintain, and improve the Service, including analyzing interactions to deliver feedback, analytics, and personalized coaching.
Account management and customer support, including responding to inquiries and troubleshooting.
Security, monitoring, and fraud prevention, including protecting the Service and our users.
Research and development to evaluate and improve features, models, and user experience.
Communications, including sending service-related notices and—if you opt in—marketing communications.
Legal compliance and to enforce our agreements, policies, and terms.
We do not sell your Personal Data.
Automated Processing & Human ReviewParlay uses automated processing to generate performance scores and coaching suggestions. These features do not produce decisions with legal or similarly significant effects. You may request human review or challenge a score at support@goparlay.io.
Recording & Transcription ConsentYou are responsible for ensuring all participants are lawfully notified of and consent to any recording or transcription, including in all-party consent jurisdictions. Parlay provides controls (e.g., pre-call notices, audible tone, and visual banners) to support compliance.
Model TrainingWe do not use Customer Content (recordings, transcripts, sales notes, and coaching outputs) to train foundation or generative models without your organization’s explicit opt-in. We may use de-identified, aggregated telemetry to improve security and reliability. Any opt-in will describe scope and controls and may be withdrawn at any time.
4. Data Sharing & DisclosureWe may share information in the following circumstances:
Service Providers. With vendors who provide services such as cloud hosting, storage, processing, analytics, communications, and security. These parties process data on our behalf under appropriate contractual safeguards.
Team Admins (Enterprise). For organization or team accounts, authorized administrators may access team-level metrics and, subject to your organization’s settings, per-user performance data and artifacts (e.g., recordings, transcripts). Access and visibility are governed by your organization’s configuration and policies.
Affiliates. With our Affiliates, provided they honor this Privacy Policy.
Business Transfers. In connection with a merger, acquisition, financing, reorganization, or sale of assets.
Legal Compliance & Safety. To comply with applicable laws, legal process, or governmental requests; to protect rights, property, or safety of users, the public, or Parlay; and to detect, prevent, or address fraud or security issues.
With Your Consent. We may share information for other purposes with your consent.
Role of the Parties (Controller/Processor)For enterprise accounts, your organization is the controller of Customer Content and Parlay is the processor; Parlay is the controller of account metadata and Service telemetry. When acting as processor, we process only on documented instructions and under our Data Processing Addendum (DPA).
SubprocessorsWe use vetted subprocessors for hosting, storage, and communications. We maintain a public Subprocessors List at [link to subprocessor page] and will provide 30 days’ notice of material changes. You may subscribe to change notifications.
5. Data RetentionOrganization administrators can configure retention for recordings/transcripts at the workspace level. If no setting is chosen, Parlay applies the following defaults:
Recordings & Transcripts: retained for 12 months.
Diagnostic Logs & Telemetry: retained for 90 days.
Backups: retained for up to 30 days solely for integrity and disaster recovery, then purged.
We retain Personal Data as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. We will publish our retention schedule and notify you of material changes.
6. International TransfersYour information may be transferred to and processed in countries other than your own. For EU/UK/Swiss data, we rely on: (a) certification under the EU–U.S./UK–U.S. Data Privacy Frameworks where applicable; and/or (b) Standard Contractual Clauses with supplementary measures. We monitor legal developments and will update our transfer mechanisms as required.
7. Security of Your Personal DataWe use industry-standard administrative, technical, and physical safeguards—such as encryption in transit and at rest, access controls, least‑privilege practices, and monitoring—to protect Personal Data. However, no method of transmission or storage is 100% secure.
Incident Notification. If we become aware of a personal data breach, we will notify affected customers without undue delay and, where applicable, notify supervisory authorities within 72 hours. Notifications may include the nature of the incident, likely consequences, and measures taken or proposed to address it.
8. Your Rights & ChoicesDepending on your location and applicable law, you may have the right to:
Access, correct, or update your Personal Data via your account settings or by contacting us.
Delete your Personal Data or request that we delete it, subject to legal obligations and legitimate business needs.
Opt out of marketing emails by using unsubscribe links or contacting us. Service-related communications are required for Account operation.
Manage cookies through your browser or device settings and via our Privacy Choices center.
Where we process data on behalf of your organization, some requests may need to be directed to your organization’s administrator.
U.S. State Privacy Notice (CA, CO, CT, VA, UT, and others)Depending on your state, you may have rights to access, delete, correct (where applicable), and to opt out of the sale or sharing of personal information, targeted advertising, and certain profiling. Parlay does not sell personal information. We honor browser-based signals, including Global Privacy Control (GPC) and Colorado-recognized Universal Opt-Out Mechanisms (UOOM). 9. Children’s Privacy Children’s PrivacyThe Service is not intended for children under 16. We do not knowingly collect Personal Data from individuals under 16. If you believe a child under 16 has provided Personal Data, please contact us so we can take appropriate steps to remove such information.
10. Links to Other WebsitesThe Service may contain links to third-party websites or services. We are not responsible for the privacy practices of such third parties. We encourage you to review their privacy policies.
11. Changes to This PolicyWe may update this Privacy Policy from time to time. We will post the updated version on this page and update the Effective Date above. For material changes, we will provide additional notice (e.g., by email or in-app notice).
